Practice operations

Give your front desk some room to breathe

When the phones are ringing and a patient is standing at the counter, paperwork loses. Remote support can take on clearly defined administrative work so your in-office team is not constantly choosing between patients and the task list.

The practical problem

Start with the queue, not a job title

Some practices need a scheduler for the first two hours of the day. Others need insurance eligibility checked before appointments or referral packets chased after visits. We define the exact queue and escalation rules first, then decide what level of staffing fits.

Before work begins, we'll agree on the tasks, systems, reviewers and handoffs. That makes it clear what your team keeps, what ERG supports and what needs a specialist or vendor approval.

What we can help with

Services you can actually put to work

Choose a focused project or a defined ongoing workflow. The final scope follows your practice's systems and requirements.

Virtual medical reception

Routine call handling, message taking and appointment inquiry routing using practice-approved scripts.

Scheduling and confirmations

Appointment booking or rescheduling in supported systems with the practice's rules and access controls.

Insurance and administrative prep

Eligibility checks, demographic updates and incomplete-registration follow-up before appointments.

Referral coordination

Track referral status, request missing documents and communicate with referring offices.

Back-office assistants

Index nonclinical documents, update task queues and prepare routine reports for the practice manager.

How we'd work together

Start with the workflow, then the solution

  1. Define the work

List tasks, software permissions, schedules, handoffs and cases that must be escalated.

  2. Set team controls

Agree on onboarding, scripts, quality checks, secure access and coverage expectations.

  3. Review quality weekly

Use task completion, error trends and practical feedback to refine the work.

Common questions

Before we get started

If your practice uses a specific EHR, phone system or platform, mention it when you contact us. We'll assess what's possible in that environment.

Can virtual staff work inside our EHR or practice management system?

Where appropriate access and the vendor's terms permit it. We use role-based permissions, not shared clinician logins.

Can they provide clinical advice?

No. Administrative staff route clinical questions to authorized medical personnel.

Can we begin with one specific function?

Yes. Scheduling, eligibility and referral coordination are good examples of separately scoped functions.

Tell us which part of the work you want help with.

We can talk through your current process, where support would make a difference and what a reasonable scope looks like.
