Practice operations

Fewer unanswered questions at the front desk

A patient calling about an appointment should not have to start over three times. Good communication support is about clean handoffs: who answered, why the patient called, what happens next and who owns the follow-up.

The practical problem

Help at the busiest moments

Office teams often handle scheduling, insurance questions and provider messages on the same phone line. Overflow or dedicated call support can separate routine administrative requests from the cases that belong with your clinical staff.

Before work begins, we'll agree on the tasks, systems, reviewers and handoffs. That makes it clear what your team keeps, what ERG supports and what needs a specialist or vendor approval.

What we can help with

Services you can actually put to work

Choose a focused project or a defined ongoing workflow. The final scope follows your practice's systems and requirements.

Inbound and overflow calls

Practice-approved greeting, purpose-of-call capture, message documentation and routing.

After-hours answering workflows

Administrative message intake and next-business-day follow-up; emergency and clinical concerns follow the practice's escalation policy.

Appointment confirmations

Calls or approved messages for reminders, rescheduling and no-show follow-up.

Patient recall outreach

Contact patients due for permitted follow-up reminders using lists and outreach rules approved by the practice.

Patient feedback and response

Route satisfaction surveys and complaints for private handling, with a clear owner and response trail.

How we'd work together

Start with the workflow, then the solution

  1. Review call types

Identify routine questions, peaks, language needs, office hours and priority exceptions.

  2. Write scripts and rules

Approve tone, identity verification, consent, escalation and message retention.

  3. Check every handoff

Review missed requests, callback times and error cases rather than relying on call volume alone.

Common questions

Before we get started

If your practice uses a specific EHR, phone system or platform, mention it when you contact us. We'll assess what's possible in that environment.

Will your team answer medical questions?

Clinical questions, symptoms and urgent concerns are escalated according to the practice's approved protocol; nonclinical staff do not diagnose.

Can you offer after-hours support?

After-hours administrative intake can be scoped. It is not a replacement for clinical on-call or emergency response.

Can you send text reminders?

Where supported and permitted, with the proper consent, privacy safeguards, message content and opt-out processes.

Tell us which part of the work you want help with.

We can talk through your current process, where support would make a difference and what a reasonable scope looks like.
