AI and systems

Automate the follow-up work, not clinical judgment

The best automation is often the unglamorous one: a missed call that gets routed, a referral that reaches the right work queue, or a reminder that no longer depends on someone remembering it. We start with the recurring work your team actually wants off its plate.

The practical problem

Where automation belongs in a clinic

Front-desk and billing teams juggle calls, scheduling requests, documents and status checks across systems. A useful workflow has a defined trigger, an owner, an exception path and a way to see when it failed. Without those, it just moves the confusion to another screen.

Before work begins, we'll agree on the tasks, systems, reviewers and handoffs. That makes it clear what your team keeps, what ERG supports and what needs a specialist or vendor approval.

What we can help with

Services you can actually put to work

Choose a focused project or a defined ongoing workflow. The final scope follows your practice's systems and requirements.

AI receptionist and FAQ routing

Handle routine practice questions and route appointment requests or unusual questions to designated staff.

Missed-call and inquiry follow-up

Capture a missed inquiry, create a task and send an approved follow-up through a permitted communication channel.

Scheduling and reminder workflows

Reduce manual status chasing through appointment confirmations and reminders, subject to system capabilities and consent rules.

Document and task routing

Move incoming referral or administrative documents to the right review queue with an audit trail and exception handling.

Practice-specific assistants

Internal tools for finding approved SOPs, drafting nonclinical responses and helping staff complete repeatable administrative tasks.

How we'd work together

Start with the workflow, then the solution

  1. Pick one bottleneck

Describe the trigger, current steps, staff owner and consequences of a missed handoff.

  2. Set the boundaries

Define access, approvals, privacy controls and when the workflow must stop and involve a person.

  3. Pilot and review

Test with safe data, review failures, train staff and expand only after the process works reliably.

Common questions

Before we get started

If your practice uses a specific EHR, phone system or platform, mention it when you contact us. We'll assess what's possible in that environment.

Will an AI receptionist give patients medical advice?

That is not the intended use. Appointment or administrative automations should not diagnose, triage clinical symptoms or replace a licensed professional.

Can AI connect to our EHR?

It depends on the vendor's supported integrations, security controls and permitted data access. We review those before proposing an implementation.

Can an AI tool process patient information?

Only if the workflow, vendor, agreements and access controls meet the practice's applicable privacy and security requirements. Not every AI service is suitable for PHI.
